About Style Guides…and a Tip for Writers

A writer’s cheat sheet — and how I maintain mine.

One of the challenges facing writers — especially tech writers — is maintaining consistency and proper usage of words and phrases that describe the things we write about. Is it toolbar, tool bar, ToolBar, or Tool bar? Is it Fonts panel, Font panel, Font window, or Fonts Pane? Is it iBookstore or iBookStore? Is it inspector or Inspector?

This might seem trivial to most folks, but for writers and editors, it’s very important. Inconsistent or incorrect use of established terms is one of the things that mark the work of an amateur. Professional writers do everything in their power to get things like this right — and editors help.

Style Guides

Chicago Manual of StyleStyle guides help, too. A style guide is a collection of words or phrases that might be used in a work, all presented as they should be in writing. You may have heard of some of the more famous style guides, including The Chicago Manual of Style and The Associated Press Stylebook. These are style guide books published for professionals who write about a wide range of topics.

But there are also style guides for more narrow topics. Apple, for example, publishes a 244-page document called the Apple Publications Style Guide. This is one of the books I turn to when I write my Mac OS books and articles. Written for developers and Apple’s in-house documentation teams, it lists the right and wrong ways to use hundreds of words, product names, and phrases. Not only does this include a correct list of all Apple trademarks, but it goes into tiny details. For example, did you know that you can “click the icon” but you can’t “click on the icon”? Page 37 of the latest (2009) edition is pretty specific on that point.

Microsoft Outlook 2011Individual publishers also have style guides. For example, when I wrote Microsoft Outlook for Mac 2011 Step-by-Step for Microsoft Press, I was handed not one but two style guides. They covered all of the product names and program terms I might use, as well as rules about usage. For example, I wasn’t allowed to write a sentence like this: “Outlook enables you to send and read email.” Why? Well, the word enables (in that kind of usage) was verboten. (The average reader has no idea what writers deal with when writing technical books for well-established publishers.)

My Style Guide Needs

Microsoft Outlook 2011Although I never used to have trouble remembering the proper forms and usages of the words and phrases I included in my books, as I’m aging — and as my life becomes more complex — I’m having trouble remembering the little things. So this past summer, when I worked on Mac OS X Lion: Visual QuickStart Guide for Peachpit Press, I developed and maintained my own style guide for the book.

The trick was to put the style guide in a place where it was easy to consult as I worked. I wrote (and laid out) the book on my old 24-inch iMac. I was living in my RV at the time, comfortably parked at an RV park with full utilities, but my workspace wasn’t large enough for the luxurious dual 24-inch monitor setup I have in my home office. I experimented with keeping the list of words and phrases in a Word document file, but the amount of overhead — Word running all the time, big window with all the trimmings, etc. — made it an awkward solution. Ditto for Evernote. All I needed was a tiny window where I could list the words I needed to use — these applications made maintaining and consulting such a list multiple times throughout the day a real chore.

The Solution: Stickies?

Stickies IconI stumbled onto the solution while writing the book. One of the apps that comes with Mac OS X is Stickies. This is an app whose sole purpose is to put virtual sticky notes up on your screen.

I never liked the app. I thought it was kind of dumb. After all, who would use an app to put a sticky note onscreen when you can just put a real sticky note on your screen?

But then I realized that the tiny windows Stickies creates were perfect for the simple lists I needed to consult. I could easily fit them on my screen, beyond the area I needed to work with InDesign.

And I continue to do so today.

There are a lot of benefits to using Stickies as a solution for this problem:

  • The contents of Sticky Notes are saved, even if you quit the application.
  • Stickies are easily modified and updated.
  • Stickies supports formatting, so if I want to remind myself about a word or phrase that should never be used, I can format it as strikethru text.
  • Stickies can be exported as plain text, so I could, theoretically, save a style guide list before closing the Stickies window when the book is done.
  • Stickies take up very little room onscreen.
  • All active Stickies notes open automatically when you open the app.
  • It’s easy to set up my computer so Stickies automatically opens at startup.

Sounds good, no?

For me, it’s a win-win. I get a solution to my problem. But what I also get is a reason to use a silly little free app like Stickies.

Weather Forecasting: A Bad Joke?

Each “source” of weather tells a different story.

My work this summer is highly dependent on weather. Simply stated, if the weather is picture perfect and there’s no chance of rain, I pretty much have the day off to do what I like. But if there’s any chance of rain, I need to stick around my base just in case rain starts. And if it’s raining, I go to work.

So, as I mentioned elsewhere on this blog, I’m really in tune with the weather.

Or at least I try to be.

The trouble is, I track the weather using multiple sources on my computer, iPhone, and iPad. And it’s very seldom that they all agree.

Today is a perfect example. Here are screenshots for the various sources, all captured within the save 5-minute period. What interests me is what it says for Sunday, Monday, and Tuesday.

National Weather Service

The National Weather Service website is my preferred source of weather data. It’s a no-frills site that doesn’t have very good weather graphics — radar, etc. — but does have well-described weather forecast data.

The Weather Channel

Everyone loves the Weather Channel website. I don’t. It’s full of ads and info that most people who are serious about weather forecasts has no interest in. But it is a source of weather info and I do occasionally consult it — usually for radar graphics.

Intellicast

Intellicast is the pessimist of weather forecasting. I’ve discovered that if any forecast shows a chance of rain, it’ll be Intellicast. I use the Intellicast app on my iPad, but there’s also an ad-heavy website.

WeatherBug

WeatherBug ForecastI use Weather Bug on my iPad and WeatherBug Elite on my iPhone. They usually have the same forecast.

This screenshot is from the iPad version. It’s showing a 20% chance of rain on Monday, just like the National Weather Service. As you might imagine, the iPhone version shows the same information (although in a different way).

Which One is Right?

In this example, at least there is some agreement between the different programs. The way I read this is that rain is possible sometime on either Sunday or Monday or both. Chances are slim but is possible — at least as of now.

Of course, I’ll watch all of these sources throughout today and tomorrow to see how they change. These forecasts will change. They were, after all, different yesterday.

Will they ever all agree? No. I’ve experienced rain when the forecast for one said no rain and another said there was a 10% chance.

Monday, July 25, was a good example. I went to bed on Sunday after seeing a 10% to 20% chance of isolated thunderstorms for Monday, yet was awakened at 4:30 AM on Monday by a pouring rain that didn’t really let up until 2 PM that afternoon. All the pilots flew all day that day; it was a nightmarish situation where all the orchards got wet and needed service. (I also got calls from orchard owners who weren’t under contract with me, begging me to come. I couldn’t — I service my clients first and it took all day to take care of them. A lot of cherries were lost that day.)

So I’ll be watching the weather closely for the next few days, never wandering far from base.

Who knows? Maybe tomorrow raindrops on my rooftop will put me on active standby before my morning coffee.

Banking by Phone [App]

Almost full-service banking by smart phone.

I’ve been doing 95% my banking online for the past five to eight years. I seldom write any checks and never visit the bank and wait on line for a teller. Instead, I have direct deposit from some of my publishers and use online bill pay (through my bank’s Web site) and online bill paying features in Quicken to make payments. When I receive money by check, I deposit at an ATM. When I need to pay someone with a check — which is more and more seldom these days — I pull out one of the ones leftover from my original check stock, blow the dust off, and write one.

Some Words about Bank of America

I do all of my banking with Bank of America. Before you start bashing them, let me explain why. Our local branch in Wickenburg was, until recently, extraordinarily helpful. We had no trouble opening accounts, getting loans, refinancing our home, getting a home equity line of credit, etc. The staff knew us by name and always helped us immediately with any problems. It just made sense to put everything in one bank.

Since then, Bank of America has done its part to seriously piss me off — as they piss off everyone else they come in contact with. The local branch service completely failed to help us with a very serious problem, actually bringing me to tears in the branch location. I was forced to work with the monster that is Bank of America’s loan department and, although I resolved the situation satisfactorily, I have not been back to the branch since. I also have serious fears that the same problem will arise again and it has forced me to take a completely different approach on my personal finances. But that’s another story.

In general, my banking with Bank of America works pretty well. Between my husband and I, we have many accounts: 3 personal checking, 2 business checking, 2 credit cards, 2 mortgages, 1 home equity line of credit, and a 1 “recreational vehicle” (helicopter) loan. To start moving these accounts to another bank just because Bank of America isn’t what it used to be would be a time-consuming exercise in frustration. I have better ways to spend time frustrating myself.

What I do like about Bank of America’s Web access is that I can access all of my accounts from one login screen. This makes it really easy to manage my accounts. And it works with Quicken for free (although they do charge for QuickBooks access, which is why I don’t use QuickBooks). Even bill pay is free. And checking, as long as I use my debit card at least once a month. So my banking costs are quite low and access is quite convenient. How can I complain?

Point is: please don’t fill up the comments with suggestions on a better bank. I’m not interested in switching.

The Bank of America App

Recently, I downloaded the Bank of America iPhone App. It sat on my phone for at least a few weeks before I decided to give it a try. It has limited functionality, but it does make it relatively easy to check account balances, pay bills (to known payees), and transfer money using the app.

BofA AppThe app is pretty straightforward. You open it and then log in using the same kind of Site Key protection that’s on the Web version of online banking. You then choose from three options:

  • Accounts displays all your accounts and their balances. Clicking an account shows transactions in that account. Clicking a transaction shows transaction details.
  • Bill Pay & E-Bills gives you access to the bill pay feature. You can make a single payment, view (an cancel, but not change) outgoing payments, and view unpaid e-bills (if you have any).
  • Transfer Funds lets you transfer money between your accounts now, schedule a transfer between your accounts for later, or transfer to another person (if you have this feature set up).

Although the app’s limited functionality makes it impossible to use without occasional Web access — for example, you can’t set up a payee in the app; you must do that on the Web site or from within Quicken — it is, in general, quicker to use than the Web site — especially if you suffer from painfully slow Internet connections, as I do at home in Wickenburg. The phone has fewer options, so it takes fewer clicks (or taps) to get to the feature you need. Unfortunately, that feature doesn’t appear immediately. Worse yet, when you go back, there’s no indication that the app is doing anything — some kind of wait cursor or Internet access indicator would really help. But I still think it’s quicker and easier to use than the Web site for the few features it does support.

Point in case: today I paid my mechanic for some work he did on my helicopter. I was able to do this while eating breakfast, without firing up a computer. Launch the app, log in, and get right to the payment page. Enter an amount, send it, confirm it, and I’m done. It took about a minute.

And I can do this from anywhere I have a 3G phone signal. (I have Verizon, so that’s nearly everywhere I go.)

Conclusion

While I’m certain this isn’t the best banking app out there, it is the one that my bank offers, so it’s the only one I’ve experienced. If this is an indication of what’s to come, I’m very glad. The quicker and easier banking tasks are, the less time I have to spend doing them — or dealing with the bank’s staff.

Now that I’ve tried it, I’ll likely be using it more often.
